Many software packages available are high-end products, very powerful and more suitable for large engineering and design companies. For a day-to-day maintenance department, this can cause a significant problem as these programs are often difficult to learn and maintain.

Our online service provides a drawing and document management solution to cater to all your problems. We take a copy of your drawings and documents and organise them so they can be accessed via the internet. Secure logon to our website allows you and your approved users to access your drawings and documentation with ease.

Drawing and document management for mining clients

Large organisations, such as mines, often finish up with a lot of drawings and documents to manage. Not too many years ago someone was employed to maintain these but those days are now gone.

With the availability of computers and technology it is so easy to store all of the drawings and documents on the computer and simply print them out when needed. In reality it’s not that easy asmost organisations need help.

Over the years drawings become disorganised and out of date, multiple revisions make it difficult to find the current revision, AutoCAD drawings can be difficult to print and too many people have uncontrolled access to the files.

As a drafting contractor we encounter these problems all the time and can provide a system to help the site engineers cope. We have developed a drawing and document management service (DMS).

PLC Solutions' DMS allows you to have all your documents stored in a single central location. This allows full control of who has access and to what level, organisation and categorisation of documents, and a search engine to help you find the one you are looking for.

The DMS is accessible from anywhere in the world at any time, with all your documents available in their original format as well as easy-to-print PDF format. All activityregarding your documents and drawings is logged;you know who is accessing your documents and when.

Manager and contractor access to mine project documents

An approval process is built in for any new or modified documents, only managers can approve document changes. Selected documents can be made available to your contractors via a special logon, allowing them to view your standard specifications, policies, procedures and any other documents you determine they need.

You can have all of this without the worry of owning and managing a software package and employing an IT specialist who may leave taking their knowledge with them. All you need is Internet Explorer and Adobe PDF Reader.

Project documentation management

One of the main objectives of the system is to replace emails as they can be difficult to access by others to whom the email hasn’t been sent to. There can be many copies circulating and often a number of topics can be covered in a single email making it difficult to track information on one particular problem or issue. Our DMS caters to this by making issues organised, central and accessible to whoever may need to access it all while keeping a complete history.

Below are a few areas the project document management segments we take care of:

Drawings - by uploading drawings onto the DMS, there is a history of the dates when drawings were submitted, reviewed, approved or rejected along with any comments associated to specific drawings.

Issues - Our DMS can manage RFI’s, defects and punch list items which are available to everyone along with a history of everything to do with any issue from the creation to the resolution all while notifying the user of variations.

Commissioning documentation - the system requires that commissioning documentation be uploaded to the system before approval is granted and once approved it is available to everybody making the management of that documentation finished.

Manuals - by uploading manuals onto the system, our DMS can alleviate a lot of the work and make all revisions available to everyone and effectively making them impossible to lose.
